When you book a trip with us, you agree to the following terms and conditions. These policies take effect the moment your booking is confirmed.
Booking Your Trip & Deposit
To reserve your spot on any of our adventures across Nepal, Tibet, or Bhutan, you need to provide:
- A clear copy of your valid passport.
- A completed and signed digital booking form.
- A non-refundable deposit equal to 20% of the total trip cost.
Deposit Policy: The 20% deposit is non-refundable once the booking is confirmed. We use these funds immediately to secure your permits, logistics, and staff. If you decide to cancel your trip at any point, this deposit will be retained as a cancellation fee.
Paying Your Remaining Balance
For Trips within Nepal
The remaining 80% of your balance is due upon your arrival in Kathmandu and must be paid before your trek or tour begins. We accept:
- Cash (US Dollars)
- Bank Wire Transfer
- Major Credit/Debit Cards (Please note: card payments carry a standard processing fee).
For Trips to Tibet or Bhutan
Because of strict cross-border regulations and flight booking requirements, trips to Tibet or Bhutan must be paid in full at least 20 days before your departure date. If we do not receive your final payment by this deadline, we reserve the right to cancel your booking and retain your deposit.

Please Note: You are responsible for all bank intermediary and sending fees. The exact amount on your invoice must be credited to our account.

Surcharge: A 3.5% convenience fee will automatically be added to all credit card transactions.
Last-Minute Bookings
Nepal Trips: Bookings for itineraries within Nepal can be accepted up to 3 days before the trip departure date, subject to availability.
Tibet & Bhutan Trips: Because cross-border permits take time to process, we are unable to accept last-minute bookings.
Rescheduling & Postponing Your Trip
If you need to change your travel dates, just let us know in writing.
Free Postponement (Nepal Trips Only — subject to notice period)
- If unforeseen circumstances prevent you from traveling on your scheduled dates, you can reschedule your Nepal trip without any penalty.
- This applies only to trips running entirely within Nepal.
- Your payments will be converted into a lifetime travel credit.
- You can use this credit for any future date, subject to seasonal availability and any adjustments in itinerary pricing at the time of rebooking.
Cancellations & Refunds
Cancellation by the Traveler
- If you choose to cancel a confirmed booking, your 20% deposit is non-refundable and acts as the cancellation fee.
- If you have already paid more than the initial 20% deposit at the time of cancellation, we will refund the extra amount to your original payment method.
Incomplete Trips & Unused Services
- Once your trek or tour has officially started, we cannot issue any partial or full refunds. If you decide to leave the trip early—whether due to personal choice, physical condition, injury, or illness—you forfeit payment for any unused days, accommodation, transport, or guiding services.
- Limitation of Liability: Mountainlust Adventures is not financially responsible for trip changes, delays, or cancellations caused by events beyond our control. This includes natural disasters, severe weather, political instability, government travel bans, flight cancellations, landslides, vehicle breakdowns, or sudden medical emergencies.
- Travel Credits: If a safety risk or natural event forces us to cancel your trip before it starts, we do not issue cash refunds. Instead, the amount paid (minus any non-recoverable costs already incurred for permits, flights, or hotel bookings) will be issued as a travel credit, which you can use for an alternative route or a rescheduled trip in Nepal at a later date.
- Extra Expenses: Any extra costs caused by these disruptions (such as extra hotel nights, meals, or emergency transport) must be paid for directly by the traveler.
Mandatory Travel Insurance
Safety is our top priority, which is why comprehensive travel insurance is strictly mandatory for anyone traveling with Mountainlust Adventures.
Your insurance policy must explicitly cover:
- High-altitude trekking (up to the maximum altitude of your booked itinerary)
- High-altitude medical treatment and personal accidents.
- Emergency helicopter evacuation and search-and-rescue.
- Trip interruption, cancellation, and lost baggage.
A Note on Out-of-Pocket Expenses: Please make sure you understand your policy's deductibles. If an emergency happens and the rescue or medical operators require upfront payment before your insurance company processes the claim, you will need to settle these costs on the spot.
Mountain Flights & Weather Delays
Domestic flights to remote airstrips—like Lukla (Everest region), Jomsom (Annapurna), Dolpo, Jumla, and Simikot—rely entirely on clear weather. Flights are frequently delayed or grounded due to sudden fog or high winds.
Mountainlust Adventures is not responsible for the cost of extra meals or hotel stays during weather delays.
Important Recommendation: We strongly recommend bringing some extra emergency cash and building a few "buffer days" into your itinerary before your international flight home.
Local Laws & Code of Conduct
Travelers must respect and adhere to the local laws, cultures, and traditions of the host countries. If a traveler engages in illegal or highly disruptive behavior and is fined, arrested, or deported:
Mountainlust Adventures will end your tour immediately. Additionally, we will not provide refunds, compensation, or legal assistance for the missed portions of your trip. All legal and financial responsibilities will rest solely on the traveler.
Third-Party Bookings & Website Updates
Direct Bookings: These terms apply strictly to travelers who book directly with Mountainlust Adventures. If you booked your tour through an external travel agency, third-party booking platform, or broker, you are bound by their specific terms and conditions.
Website Changes: We reserve the right to update our itineraries, pricing, and website content at any time. We are not liable for any logistical changes or financial losses resulting from updates made to our online platforms.
